Creating Automations: Scheduled Tasks

Overview

Scheduled tasks allow you to select specific reports to be sent to you at regular intervals, either to your email or file-sharing service, or subscribe lists of visitors to a mailing list, based on their activity.

Woopra supports four targets for Scheduled Tasks:

Email Send either analytics or search (people) reports to your email address to receive reports at regular intervals, without needing to seek them out each time.
Dropbox Send either analytics or search (people) reports to your Dropbox account to receive reports at regular intervals, without needing to seek them out each time.
Box Send either analytics or search (people) reports to your Box account to receive reports at regular intervals, without needing to seek them out each time.
MailChimp Send lists of visitor emails to your MailChimp account to update subscription groups based on visitor behavior.

How to Create a Scheduled Task

Step 1: Select the report of interest

The first step to creating a Scheduled Task is to select the type of report you wish to receive. Scheduled Tasks deliver two report types: Analytics reports, which will deliver any analytics, Funnel or Retention reports you select, an Search reports, which will deliver a report of the visitor properties for the visitor segment you define.

Step 2: Choose and Set Up Scheduled Task

The second step is to configure the Reports or Visitor Segment you wish to examine.

Setting Up Your Scheduled Task

Option 1: Create Analytics Report

  • Select ‘Create Analytics Report’ from the options.

    1. Name the Scheduled Task According to your Preference
    2. Write a Description of the Scheduled Task, to help team members not involved in the setup understand the task’s purpose.
    3. Select the Frequency with which you wish the reports to be Delivered.
    4. Reports can be scheduled for delivery Daily, Weekly, or Monthly
    5. Select the Custom Reports, Funnel, Retention, or Analytics reports you wish to include with the task from the dropdown menu. You can select as many as you wish.

    6. Select the Target Action for the Report Delivery. Choose The action from the Add Action list. You can select Email, Box, or Dropbox as the destination for the Scheduled Task.
    7. Email:

      Enter the Email you wish the report to send to, Define a Subject for the Task, and Select a report format. Reports can be emailed as PDF, or as HTML formats. Select ‘Send a Test’ to verify that the report and format are set up as you wish.

      Box or Dropbox:

      Select Box or Dropbox from the actions list. Enter the Folder destination you wish the report to be uploaded to, and Select a report format. Reports can be Uploaded as PDF, or as HTML formats. Select ‘Send a Test’ to verify that the report and format are set up as you wish.

    Option 2: Create Search Report

  • Select ‘Create Search Report’ from the options.

    Within the editor:

    1. Name the Scheduled Task according to your preference.
    2. Write a description of the Scheduled Task, to help team members not involved in the setup understand the task’s purpose.
    3. Select the frequency with which you wish the reports to be delivered.
    4. Reports can be scheduled for delivery Daily, Weekly, or Monthly.
    5. Define the specific visitor segment whose profile data you wish to include in the report.

    6. Select the target Action for the Report Delivery. Choose the action from the Add Action list. You can select MailChimp, Email, Box, or Dropbox as the destination for the Scheduled Task.
    7. MailChimp:

      Select MailChimp from the Add Action list. Select the list you wish the visitors’ emails to be added to from the dropdown menu. Select the options you wish from the available checkboxes.

    8. ‘Send a Confirmation’ will send a confirmation email you have composed in MailChimp to the visitors that they have been added to a list.
    9. ‘Update Subscribed Members’ will update subscriptions to include new members.
    10. ‘Send Welcome Email’ will welcome new subscribers to the list with an Email you have composed in MailChimp.
    11. Select ‘Send a Test’ to verify that the report and format are set up as you wish.

      Email:

      Enter the Email you wish the report to send to, Define a Subject for the Task, and Select a report format. Reports can be emailed as CSV, XLS, or PDF formats. Select ‘Send a Test’ to verify that the report and format are set up as you wish.

      Box or Dropbox:

      Select Box or Dropbox from the actions list. Enter the Folder destination you wish the report to be uploaded to, and Select a report format. Reports can be uploaded as CSV, XLS, or PDF formats. Select ‘Send a Test’ to verify that the report and format are set up as you wish.
